Three problems we help with

Concrete shapes this work can take: what breaks today, what a calm workflow does instead, and where a human stays in control. Hypothetical examples for planning, not measured client results. No fake proof.

How to read this page: each example shows before, after, what is in, and what is out. Start with a free 20-minute call. If we both say yes, a written workflow plan from A$500 maps which of these (if any) fit your tools. Hands-on install is a separate written agreement. Self-serve guides are sold apart from consulting.

Example 01

Lead follow-up

Before: an enquiry sits while you are on a job. After: a timed reply draft, or a quiet ping so you reply first. You approve and send. Ownership stops living in someone's head.

EnquiryWaitDraftNotify

In scope

  • Capture enquiry from form, shared inbox, or job tool webhook
  • Timer in business hours (AEST) before a draft or owner ping
  • Shared board row with a named owner
  • Dedupe on enquiry or thread id
  • Test cases plus pause and rollback notes

Out of scope

  • Auto-sending customer replies without human approval
  • Scraped lead lists or cold outreach to strangers
  • Full CRM migration or call-centre staffing
  • Guaranteed conversion rates (we do not invent numbers)
Example 02

Quote to paid

Before: accepted quotes stall and overdue invoices hide. After: jobs open from accepted quotes; open quotes get a polite nudge; overdue invoices get a staged chase on your wording. Cash stops dying in the inbox.

QuoteJobInvoiceChase

In scope

  • Day-3 / day-7 nudge on quotes still open (your wording)
  • Job completed → invoice draft in Xero or your accounting tool
  • Missing-PO or missing-line flag for finance
  • Staged overdue reminders with owner-approved copy only
  • Quiet-hours rules and dedupe so nobody is spammed

Out of scope

  • Debt collection, legal threats, or credit reporting
  • Changing your chart of accounts or tax setup
  • Automatic card charges without your payment tool
  • Promised recovery percentages (illustrative only until measured)
Example 03

Fewer no-shows

Before: empty slots and lost labour. After: confirmation on book, day-before reminder with cancel or reschedule. Still your calendar, your rules.

BookConfirmRemindShow

In scope

  • Confirm message on new booking (channel you already use)
  • Day-before reminder with cancel / reschedule path
  • Dedupe so one booking never gets a reminder storm
  • Optional internal ping if the slot is still open morning-of
  • Handover notes for thresholds and mute rules

Out of scope

  • Robocalls, scraped phone lists, or unsolicited SMS blasts
  • Replacing your booking product with a custom app
  • Deposits or cancellation fees (policy is yours)
  • Guaranteed no-show percentage cuts without baseline data
